Elders first: call or visit before you message
In most desi families, grandparents, elder aunts and uncles, and anyone who would expect a personal invitation should hear it from you first, in person with mithai and a card, or at least by phone. Tell them a link with all the details will follow on WhatsApp. The message then becomes a convenience, not the invitation itself.
Step by step
- 01Finalize your guest list and save every number with its country code, for example +1 for Canada and the US, +91 for India, +44 for the UK and +92 for Pakistan.
- 02Call or visit the elders and close relatives who deserve a personal invitation, and let them know a link is coming.
- 03Prepare one message with one link. An invitation website puts every function, venue, map and RSVP behind a single link, so guests don't have to scroll through a stack of images.
- 04Send through a broadcast list or individual chats, not a group.
- 05Personalize the greeting with each person's name and the right salutation, and send at a reasonable hour for where they live.
- 06Reply to questions personally, and note any RSVPs that arrive by message or phone in your main list.
- 07Send one reminder before the RSVP deadline and one shortly before the first function.
Broadcast lists vs groups
A broadcast list sends your message to each person as a private chat, and any reply comes only to you. The catch: a broadcast message only reaches people who have saved your number in their own contacts. Anyone who hasn't saved it simply won't receive it, so send those guests the message individually.
A group is the wrong place for invitations. Every member can see every other member's phone number, every reply goes to everyone, and one 'congratulations' can turn into hundreds of notifications. Keep groups for the small circle of family actually organizing the wedding.
A short message template
Keep it brief and warm, and adjust the greeting (Sat Sri Akal, Namaste, Assalam-o-Alaikum or a simple hello) for each guest:
"[Greeting] [Name] ji, with the blessings of our elders, we warmly invite you and your family to the wedding of [Bride] and [Groom]. Every function, venue and map is here: [link]. Please RSVP by [date] so we can plan for you. We would be honoured to have you with us. [Your name]"
Sending to relatives overseas
Check the time where they live before you send, so a message doesn't wake a nani in Ludhiana or Lahore at 3 a.m. Make sure every time on the invitation names its time zone, such as Pacific Time for the Lower Mainland, so nobody has to guess. For elders abroad who don't read long messages, a short voice note or video call alongside the link goes a long way. Avoid sending large video files to people who may be on mobile data.
Reminders without nagging
One reminder a few days before the RSVP deadline, sent only to people who haven't replied, is usually enough. A second short message a few days before the first function, with parking or timing details, is helpful rather than pushy. If someone still hasn't answered, call them instead of messaging again.
Do's and don'ts
- Do invite elders in person or by phone before the WhatsApp message.
- Do use each person's name and the right greeting.
- Do send one link with everything, rather than five separate images.
- Do state the RSVP date clearly and thank people when they reply.
- Don't add guests to a large group where everyone sees each other's numbers.
- Don't send the same message every day or forward chain-style messages.
- Don't send in the middle of the night for the recipient.
- Don't assume a broadcast arrived; follow up with anyone who hasn't saved your number.
Frequently asked questions
Is it okay to send wedding invitations on WhatsApp?
Yes, for most guests today. To stay respectful, invite elders and close family in person or by phone first, then send the WhatsApp message with all the details.
Should I use a WhatsApp group or a broadcast list?
A broadcast list or individual chats. A group shows every member's phone number to everyone and sends every reply to the whole group.
Why didn't some guests receive my broadcast message?
Broadcast lists only deliver to people who have saved your number in their contacts. Send those guests the message individually.
How many reminders should I send?
Usually one before the RSVP deadline to people who haven't replied, and one short note before the first function. Call anyone who still hasn't answered.
